Internal Regulations of Hatsukaichi Aikido Club

Chapter 1: General Provisions
(Name)
Article 1: This dojo shall be called the "Hatsukaichi Aikido Club" (hereinafter referred to as the "Dojo").

(Purpose)
Article 2: The purpose of the Dojo is to cultivate both mind and body, improve character, and promote Aikido through Aikido training.

(Activities and Expenses)
Article 3: In order to achieve the purpose set forth in Article 2, the Dojo shall conduct the following activities:
(1) Aikido training
(2) Training of Aikido instructors
(3) Fostering friendship among members
(4) Cooperation with activities conducted by the Aikikai Foundation, the Hiroshima Prefecture Aikido Federation, and the Hiroshima Aikikai
(5) Other activities necessary to achieve the purpose
2. Expenses for these activities shall be covered by membership fees, donations, and other income.
3. The fiscal year for activities and accounting shall be from April 1 to March 31 of the following year.

(Affiliated Organizations)
Article 4: The Dojo is an authorized dojo of the Aikikai Foundation and is a member of the Hiroshima Prefecture Aikido Federation and the Hiroshima Aikikai.

Chapter 2: Members
(Members)
Article 5: A member is defined as a person who has submitted an application for enrollment and has been approved by the Board of Officers.
2. Members shall follow the instructions of the instructors and strive in Aikido training.
3. Members shall pay membership fees and, in principle, must enroll in the Sports Safety Insurance.
4. Members shall strive to manage their health to prevent the spread of infectious diseases or injuries, and must pay attention to safety during training.
5. Members who do not participate in training or pay membership fees for three months or more without notice may be expelled upon deliberation by the Board of Officers.

Chapter 3: Officers, etc.
(Officers)
Article 6: The Dojo shall have the following officers:
One Dojo Representative (Dojo-cho), no more than two Deputy Dojo Representatives, one Administrative Officer, and one Accounting Officer.
2. The Dojo Representative or Deputy Dojo Representatives may concurrently serve as the Administrative Officer or Accounting Officer.

(Advisors)
Article 7: The Dojo may appoint a few advisors.

(Qualifications)
Article 8: The Dojo Representative and Deputy Dojo Representatives must hold a rank of 2nd Dan or higher from the Aikikai Foundation. Advisors must hold a rank of 5th Dan or higher from the Aikikai Foundation.

(Appointment, etc.)
Article 9: The appointment and dismissal of officers and advisors shall be as follows:
(1) Officers shall be elected by resolution of the General Meeting based on self-nomination or recommendation from among the members.
(2) Advisors shall be appointed or dismissed upon deliberation by the Board of Officers as necessary.

(Duties, etc.)
Article 10: The duties of the officers and roles of the advisors are as follows:
(1) The Dojo Representative shall represent the Dojo, lead training, and oversee operations.
(2) The Deputy Dojo Representatives shall assist the Dojo Representative and act as a proxy when the Dojo Representative is unable to perform their duties.
(3) The Administrative Officer shall handle administrative tasks related to activities and procedures for the Sports Safety Insurance, etc. They shall also audit the accounts at the time of financial settlement.
(4) The Accounting Officer shall collect and manage membership fees, handle cash receipts and disbursements related to activities, and prepare budget and settlement drafts.
(5) Advisors shall provide advice to officers and cooperate with activities. However, they shall bear no responsibility as members.

(Term of Office)
Article 11: The term of office for officers shall be three years and they may be reappointed. However, the term for a replacement officer shall be the remainder of the predecessor's term. There is no term limit for advisors.

Chapter 4: Meetings
(Meetings)
Article 12: The following meetings shall be held to operate the Dojo:
(1) General Meeting (2) Board of Officers Meeting

(General Meeting)
Article 13: The General Meeting shall be held at the beginning of each fiscal year to resolve the following matters. Extraordinary General Meetings may be held as necessary.
(1) Business plans and reports (2) Budgets, financial settlements, and audit reports (3) Revision or abolition of these Internal Regulations, and enactment/revision of bylaws (4) Election of officers (5) Other necessary matters
2. A General Meeting shall be deemed valid if one-half or more of the members are present (including attendance by proxy).
3. Decisions shall be made by a majority of those present, and in the case of a tie, the chairperson shall decide.
4. The chairperson of the General Meeting shall be the Dojo Representative or a person designated by the Dojo Representative.

(Board of Officers Meeting)
Article 14: The Board of Officers Meeting shall be convened by the Dojo Representative as necessary to deliberate or execute the following matters:
(1) Agenda for the General Meeting (2) Matters resolved or delegated by the General Meeting (3) Admission and expulsion of members (4) Appointment or dismissal of advisors (5) Dispatch to instructor training sessions, etc. (6) Revision or abolition of these Internal Regulations, and enactment/revision of bylaws (7) Other emergency cases and necessary matters
2. The chairperson of the Board of Officers Meeting shall be the Dojo Representative.
3. Decisions of the Board of Officers Meeting shall, in principle, be unanimous.

Chapter 5: Examinations
(Examinations)
Article 15: Procedures for promotion examinations (Kyu and Dan) shall be conducted by the Dojo Representative, taking into account the number of days of training and proficiency, etc., with reference to the examination guidelines of the Hiroshima Aikikai.
2. In principle, promotion examinations shall be held at joint examination sessions organized by the Hiroshima Aikikai. However, Kyu promotion examinations may be held at the Dojo.
3. When conducting a Kyu examination at the Dojo, the Dojo Representative shall serve as the Head Examiner and conduct the examination along with one or more examiners designated by the Dojo Representative.

Chapter 6: Membership Fees, etc.
(Membership Fees)
Article 16: The monthly membership fee shall be 1,000 yen. No enrollment fee shall be charged.
2. Membership fees shall be collected at the beginning of each month. However, new members shall pay the fee for the current month upon enrollment.
3. Membership fees for the month of withdrawal shall not be refunded to members who withdraw.

(Sports Safety Insurance)
Article 17: Premiums and system usage fees, etc., for the Sports Safety Insurance for members shall be paid from the Dojo's funds. However, in principle, new members shall pay these fees upon enrollment, and the Dojo shall handle the enrollment procedures.
2. Sports Safety Insurance premiums cannot be refunded to members who withdraw.

(Travel Expense Subsidy)
Article 18: A flat subsidy of 500 yen per person per occasion shall be provided for travel expenses when an officer (including a proxy) or a representative of the Dojo attends meetings, etc., hosted by an affiliated organization. The means of transportation does not matter.

(Participation Fee Provision)
Article 19: The full amount of participation fees shall be provided only when participating as a representative of the Dojo in instructor training sessions, etc., hosted by an affiliated organization.

Supplementary Provisions
Matters not specified in these Internal Regulations shall be decided by the Board of Officers or stipulated as bylaws.
These Internal Regulations were enacted on February 1, 2023.
These Internal Regulations came into effect from March 1, 2023.
These Internal Regulations were revised on March 21, 2026.
